This policy explains what personal information Runline Coaching collects, why, who it is shared with and the choices you have. It covers our website (runlinecoaching.com, including the workout generator and support page) and the Runline app (app.runlinecoaching.com).
Who we are
Runline Coaching is the trading name of Henry Johnson, a sole trader based in the United Kingdom. Henry is the "controller" of your personal information under UK data protection law. You can contact us about anything in this policy at info@runlinecoaching.com.
What we collect and why
When you contact us
If you use the contact form or email us, we receive your name, email address and message. We use them to reply to you. Our lawful basis is our legitimate interest in answering enquiries.
When you use the workout generator
- The training details you enter (training phase, target event, recent race result or paces, weekly mileage and preferences) are sent to Google's Gemini AI service to create your workouts.
- Your email address is stored so we can keep a record of who has used the tool and, where you have agreed, send you occasional training tips. You can unsubscribe at any time.
- If you apply for coaching through the generator, we receive your name, email address and training goal, and use them to follow up with you.
- The generator stores a small daily usage count in your browser so it can apply its daily limit. This stays on your device.
When you create a Runline account
We collect your name, email address and a password (which is stored in encrypted, hashed form, so we cannot read it). We use these to run your account. Our lawful basis is that this is necessary to provide the service you have signed up for.
If you are an athlete
To coach you well and safely, the app holds information you choose to give us, which can include your year of birth, gender, height, weight, running experience, goals and races, heart rate and power data, location, your training schedule, workout comments and journal entries.
Some of this is health information: your answers to the health screening questionnaire, your injury history, and any pain or injury notes you add. Health information is "special category" data and has extra protection. We only use it to plan safe, appropriate training, and it is only shared with your coach. We rely on your explicit consent to process it, which you can withdraw at any time by contacting us (although we may then be unable to continue coaching you safely).
If you connect Strava or Polar
When you connect a Strava or Polar account, we import your activity data (such as distance, time, pace and heart rate) so your coach can compare it with your plan. You can disconnect at any time in the app's settings, and we stop importing from that point.
If you are a coach
We hold your account and profile details, your athletes' training information (to the extent you coach them through Runline) and your payment and payout information. The profile you choose to make public (name, photo, bio, specialisms and prices) is shown on the Runline marketplace and our website. If you ask the app to write a search description for your profile, the profile text you have written is sent to Google's Gemini AI service to draft it.
Payments
All card payments, for coaching and for supporting Runline, are processed by Stripe. Your card details go directly to Stripe and never reach us. We receive your name, email address, what you paid and when, and the status of any subscription. If you support Runline, we also receive any message you choose to add. We keep payment records because the law requires us to, for tax and accounting.
Who we share it with
We never sell your personal information. We share it only with the services that help us run Runline, who may only use it on our instructions:
- Stripe: payments and subscriptions.
- Railway: hosting for the app and its database.
- Vercel: hosting for the website and app.
- Resend: sending account and notification emails.
- Google: the Gemini AI service described above, our email (Google Workspace), the workout generator's sign-up records and the website's fonts.
- Cloudflare: our domain and the connection between the workout generator and Google's AI service.
- Strava and Polar: only if you choose to connect them.
- Calendly: if you book a call with us.
If you are an athlete, your coach can see your profile, training and health information. We may also share information where the law requires it.
International transfers
Some of these services store or process information outside the UK, including in the United States. Where they do, we rely on safeguards recognised under UK law, such as the UK–US data bridge or the standard contractual clauses these providers offer.
How long we keep it
- Account and training information: while your account is open, and deleted or anonymised within 12 months of it closing, unless you ask us to delete it sooner.
- Payment records: for at least six years, as required for tax and accounting.
- Enquiries: for up to two years after our last contact.
- Workout generator email addresses: until you unsubscribe or ask us to remove them.
Cookies and browser storage
We do not use advertising or analytics cookies. The app stores a sign-in token in your browser so you stay logged in, and the workout generator stores its daily usage count. Both are needed for those features to work and stay on your device.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw any consent you have given. Email info@runlinecoaching.com and we will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.
Under 18s
Runline is designed for adults. If we coach anyone under 18, we will only do so with the agreement of their parent or guardian, who can exercise the rights in this policy on their behalf, and we will ask for a parent or guardian's consent before collecting health information about them. If you believe someone under 18 has given us their information without that agreement, please contact us and we will delete it.
Changes to this policy
If we change this policy, we will update the date at the top of this page, and tell account holders about significant changes by email.
